# Roles and access

> Who can sign in, what each role can do and which assistants they see.

Everyone signs in with their own email and password. Each account has a **role**, and either sees **all assistants** or only the assistants you give it.

| **Client** | The business owner's portal: their conversations, bookings, results and questions to answer. No set-up pages and no AI costs | The business owner or their staff |

  Above the agencies there's one **platform owner**, who creates agencies, sets their limits and looks after backups and monitoring. The owner doesn't appear in an agency's Users list. See [Agencies and the platform owner](/running-the-agency/agencies).

## Add a user

    Enter their name and email, and choose the role. An email address can belong to only one account on InstaForge: if it's already used, you're told it can't be used, so ask the person for another address.

  <Step title="Choose which assistants they see">
    Leave **Access to all assistants** on for your own team. For a business owner, switch it off and pick only their assistants. A client with two Instagram accounts has two assistants; pick both if they should see both.

    Someone who has only some of a client's assistants sees the bookings, orders, gift cards and waiting list those assistants took. In the calendar, appointments booked through the client's other assistants show only as **Taken**, so the time is still blocked.

    They get an email with a link to set their password. If email isn't set up on your server, copy the link and send it yourself.

  Give people the lowest role that does the job. A receptionist who only answers chats should be an **Agent**, not an Editor.

## Signing in safely

Each person can turn on two-step sign-in with an authenticator app in **Settings → Sign-in and security**, and see and sign out the devices they're signed in on. Turning two-step sign-in on or off and making new recovery codes ask for the password first.

After a few wrong passwords or codes, signing in to that account pauses for 15 minutes. Changing the password signs the account out everywhere and disconnects its AI agents.

## Seeing all assistants at once

**All assistants** lists every assistant you look after across all clients, with what needs attention first, its activity and its AI spend this month. **Change several at once** applies the same FAQ answer or setting to many assistants in one go, and records it in each assistant's history.
